ROLE
Summary:
The Administrative Assistant provides a high-level administrative support by conducting research, preparing reports, handling vendor relationships, and performing clerical functions such as submitting applications, arranging conference calls, and scheduling meetings.
Responsibilities:
Interface and provide support to multiple directors within the organization, ensuring effective communication and coordination.
Perform general administrative tasks, such as organizing and maintaining corporate records, documents, and reports.
This includes tasks like filing, retrieving, scanning, and copying.
Manage the application and maintenance of venue and corporate documents, which includes credit applications, permits, contracts, and various reports.
Act as the primary point of contact for executives, employees, clients, and external partners, demonstrating professionalism and excellent communication skills.
Coordinate all aspects of private, domestic, and international travel arrangements for the team.
This includes preparing detailed itineraries, compiling required travel documentation, and anticipating any travel-related needs.
Efficiently manage executives' calendars, ensuring accuracy and attention to detail.
Schedule meetings, appearances, and conference calls, and handle any potential scheduling conflicts promptly and professionally.
Take meeting notes during company and client meetings, both in the office and off-site.
Ensure that key points, action items, and decisions are recorded accurately.
Follow up on action items and decisions made during meetings to ensure timely execution and completion.
Provide administrative support to the general operations department, assisting with various tasks as needed.
Assist in preparing and organizing materials for meetings.
Attend company and client meetings, both in the office and off-site, as required.
REQUIREMENTS:
Proven experience as an administrative assistant.
Highly detail-oriented Excellent time management skills and ability to multi-task and prioritize work.
Attention to detail and problem-solving skills.
Strong organizational and planning skills.
Proficient in MS Office Occasional overnight travel Uphold a strict level of confidentiality.
